For small accounting practices in Ireland

Stop chasing clients for paperwork.

voan emails your client, in your practice name, until every document is in. This is the whole product:

Whelan & Burke Accountants → Sinead

Hi Sinead — still waiting for one thing: Bank statements. Just reply to this email with it attached.

Sinead → Whelan & Burke

here you go, sorry for the delay!

// How it works

Chase less. File on time.

  1. 01

    Add the client, the list, the deadline

    Documents you need

    31 Oct — from the CRO
    • Bank statements
    • Sales invoices
    • VAT receipts

    Presets fill the list in one click.

  2. 02

    voan chases — one document per email

    In your practice name

    Reminder: Sales invoices — due 31 October

    Starting early enough to actually finish. You never send another reminder yourself.

  3. 03

    Replies file themselves

    Checked, on the right request. The chasing stops on its own the moment everything is in.

Watch each piece:

Reply to the email, or tap the link.

They just reply with the file attached—a phone photo is fine. voan works outwhich document it is and files it; when it cannot tell, it asks them, not you.The private link is always there too: no sign-up, no password.

// Benefits

The worst part of the job, handled.

The follow-up stops being your job

You set the deadline and the list once. Every reminder after that goes out without you touching it.

Replies file themselves

The file in the reply is read, matched and checked — IBANs, PPSNs and VAT numbers verified by checksum, not guessed.

It understands what clients write back

“I’ll have it Friday” pauses the chasing. “We’re not VAT registered” takes that document off the list in one click. Real questions land with you, and your answer goes back under your name.

The screen never lies to you

Quiet means genuinely fine. A file we could not read says Check one file — never Complete. You stop double-checking in Gmail.

// Either side of it

The job starts before the chasing and ends after it.

Taking them on

The identity checks, chased like everything else

Photo ID and proof of address go on the list like everything else — one preset for sole traders, one for companies with the beneficial ownership register included. Nothing the CRO already publishes.

Setting the date

The deadline comes from the register

Type the company name. The annual return date comes straight from the CRO and we count back to the day you need everything in — showing which figure is the register’s and which is ours.

Sending it back

You send the accounts, the signed copy files itself

Attach the accounts, tick ask for it back. When the signed copy comes back in the reply it files itself — same thread, no portal, nothing for you to file.

Two things we should be straight about. Collecting the identity documents is not the same as doing your AML work — the judgement stays yours, and so does the file. And the signed copy that comes back is a scan of a real signature, because the CRO does not accept electronically signed financial statements; we remove the chasing, not the pen.

The same money, elsewhere

The other tools that chase documents for accountants cost about what we do. What they also sell you is a ceiling — on clients, on staff, on how many requests can be open at once. Published list prices, checked 31 July 2026, each in the vendor's own currency exactly as they show it:

  • 10 clients, 1 staff user
    11th client → Practice, £59
  • 20 open requests, 2 users
    21st open request → Plus, $71
  • voan€29/mo
    Unlimited clients, unlimited staff, unlimited open requests
    11th client, 21st request, second office — still €29

If you work alone with ten clients, any of these will do. The difference is what happens the day that stops being true. Our €29 includes VAT; theirs are shown exactly as their own pages show them — we have not converted currencies or added tax to anyone's number.

// FAQ

Questions?
We’ve got answers.

Anything else, email info@voan.ai. You'll hear back from Evan Park, usually the same day.

No to either — and most of them never open anything. They reply to the reminder with the file attached, the way they already answer email, and we work out which document is which. When we cannot tell, we ask them, not you. A private link is there too if they prefer it. Nothing to sign up for, nothing to install, either way.
It nudges every three days, one document at a time, and never starts more than sixty days before the deadline — a reminder half a year early only teaches people to ignore you. If we have asked your client something and heard nothing back, it stops after three tries and puts it in front of you. Inside the last week before a deadline it stops waiting after two days. It will not chase forever, and it will not go quiet on you either.
Adding one client is a name, an email and a deadline. A whole list is one paste — straight from a spreadsheet, commas or tabs or just spaces, in any order. The document list fills from a preset in one click, and for a limited company the deadline comes from the CRO when you type the company name.
Yes. Reminders go out in your practice name, so your client sees you.
Nothing automatic. There is no card on file, so if you want to keep going you add one then.
Every practice is walled off at the database itself, not just in the app — a query from your account can only ever return your own clients' rows. Files are stored encrypted in a private bucket and are only ever served through short-lived links we sign for you. Each client's upload link is unique to that one client.
Yes. Anything you have to ask clients for repeatedly, including receipts, signed forms and ID documents.
There is nothing to connect. voan sits before the bookkeeping — it gets the records out of your clients and onto your desk, named and filed against what you asked for. Where they go after that is your ledger's business, and we do not touch it.
Yes. Attach the accounts, tick ask for it back, and it goes out in your practice name. When they reply with the signed copy attached it files itself onto their list — same thread, no portal. It has to be a scan of a real signature, though: the CRO does not accept electronically signed financial statements, so we take the chasing out of that loop, not the pen.
It chases the identity documents for you. Two checklist presets — sole trader and company — put photo ID, proof of address and, for a company, the beneficial ownership register on the client's list, and they get asked for the same way everything else does. We deliberately do not ask your client for anything already on the CRO, and collecting the documents is not the same as doing your AML work: the judgement and the file stay with you.
In the EU. Your database, your clients' documents and the reminders we send all sit in EU regions. The one exception is a client's email reply, which passes through Cloudflare's global mail routing before it reaches us. Our Security page sets out exactly what runs where.
